E-Nessi: general information + instructions
The foundation has started using the E-NESSI system in the fall of 2007. Reporting through E-NESSI will only be possible in year 2009.
GENERAL INFORMATION
Maj and Tor Nessling Foundation has moved to an electronic system called E-NESSI. The system is intended to handle grant applications and grant evaluations, as well as related tracking and reporting functions. Through the system you can submit grant applications (with appendices), requests for payment, and reports. You can also track the payment records of your project and update your contact information. Write or select the information to the fields on the form and save them one screen at a time. Be sure to save the screens to avoid losing your information if the session is interrupted. You can also copy/paste your information into the fields. You can also practise applying by making a test application, test applications cannot be sent to the Foundation and they cannot be modified to a sendable form. Applications, that have not been sent, can be deleted on the main page by clicking the trashbin icon on the right-hand side of the application.
How to start using E-NESSI?
To log into the system, you need a user name and a password. If you have already used E-NESSI to request funding from the Foundation, you already have a user name and a password. If you have forgotten or don't know your user name and password, you can get them by clicking a link on the login screen. If you have not used E-NESSI before, you can register to the system on the login screen. E-NESSI considers the person making the application to be the project leader, meaning that the project leader has to register first, and the application is made using his/her login information.
The system in a nutshell
To make a new grant application, click the Make an application link, you can select from options: new application or copy the information from an old application to a new application (e.g. for continued projects). Your application will get a project number and you can modify an unfinished application through the main project page. Appendices must be submitted in PDF format, only signed commitments and other possible appendices in paper form, such as books, can be sent via mail or fax. Send the finished application by clicking the send application button. You cannot modify the application after this. You will get a confirmation that the application has been received immediately (in E-NESSI) after you have submitted it. Funded projects can be found on the E-NESSI main page under Active projects.
Fill the payment schedule forms (form a for other funding and form b for personal grants) through the payment schedules -page. Under join a project grantees can be added to the project (the grantee must register first to E-NESSI), so that she/he can fill out own information. Send the payment schedules by clicking the send payment schedules button.
Under payment records, the project's members can view the payment records of the project. The project leader can see all the information, while researchers can only see their own personal grants and other funding.
SHORT INSTRUCTIONS
When you have logged into the system, you can see your unfinished applications, reports, active projects, project history and other important functions (for example, approving joining researches, filling out the request for payment forms and reporting) listed on the main page. If they do not exist, the main page is empty. You can select to view an application, report, project or function on the list by clicking on them.
Navigating and saving the forms
On the screen's left side bar you can see the available functions. You can move through the pages of the application by clicking the navigation buttons on the left side bar or on the form itself. To save the information you must use the buttons on the form. The links and functions on the left side bar will not save the information.
Viewing and printing reports or applications
You can always view or print a report or an application in the traditional form by clicking the View printable form button (PDF icon). Leave the form by closing Adobe Acrobat. Print the form by clicking the print button in the PDF-window. The commitment page can be printed for signing by clicking Print commitment (PDF icon). If you cannot open the PDF icons, your browser probably does not allow pop-up windows, you can change this to ‘allow pop-up windows’ from the browser menu (Instructions: .
Profile
On the top of the screen there is a my profile link, through which you can find your personal information and change password. On the personal information page you can update your information that will be used as the basis for new applications and as contact information for the Foundation. Please note that the information will not be updated to the applications that you have already made.
Permissions
The project leader has the widest range of options available in the research group. He or she can draft applications, see all the project's information (such as personal information and payment records), approve and send requests for payment and reports, and allow researchers to join an E-NESSI project. Grantees can fill in/update their own personal information, fill out payments schedules for personal grants (project leader must approve them, grantee cannot send them), and view all other project information, except the personal information and payment records of other researchers.
“Send” button will send your application to the Foundation and lock it. This function is only available when you are updating the information on your application.
